1. Collection of Personal and Membership Information

You can access and browse our community news and public updates without revealing who you are or disclosing any identifiable personal information.

However, to join the Association, pay annual dues, or submit inquiries, you will be asked to voluntarily provide certain Personal Information. This includes:

Contact Information: Your name, personal email address, phone number, and primary mailing address.

Membership & Community Logs: Any historical data regarding your membership status, volunteer preferences, or feedback submitted through our community forms.

2. Residential Verification and Park Access Data

Because access to our community park on Lake Couchiching is strictly legally restricted to paid members residing within our specified district boundary, we may collect and process information necessary to verify your residential status. When applying for membership you may be asked to provide your local street address or property designation within Cumberland Beach and District. This information is processed strictly to validate your membership eligibility and preserve the private, secure nature of the park asset.

3. Use and Processing of Collected Information

The Association acts as a data controller for the information collected via this Website. We process your data strictly for community and administrative purposes, including:

  • Enrolling members, managing directory logs, and confirming local boundary eligibility.
  • Distributing neighborhood updates and annual general meeting (AGM) notices.
  • Processing annual dues and issuing membership confirmation.
  • Responding to neighborhood inquiries and managing volunteer committees.

4. Dues, Payments, and Third-Party Processors

We collect annual membership dues to support community operations and park maintenance. If you submit dues or payments through our Website, the transaction is handled securely by our integrated third-party payment gateways. The Association does not directly store or view your raw credit card numbers or banking passwords on our servers; all payment data is processed directly by secure providers who comply with industry safety standards.

5. Non-Disclosure and Information Sharing

We are a community association, not a commercial enterprise. We do not sell, rent, trade, or distribute your email address, phone number, or residential data to any third-party marketing companies, businesses, or corporate advertisers. Your data is handled entirely internally by the elected Board of Directors and volunteers managing membership rosters. We will only disclose information externally if required by law, such as to comply with an official court order or legal audit.

6. Canadian Anti-Spam Legislation (CASL) Compliance

We value your digital space. In full compliance with Canada’s Anti-Spam Legislation (CASL), any electronic newsletters, neighborhood alerts, or event reminders sent by the Association are strictly opt-in. You may voluntarily unsubscribe from our digital mailing lists at any time by clicking the “Unsubscribe” link included at the bottom of our emails or by contacting us directly.

7. Data Security and Breach Protocols

We maintain reasonable administrative and technical safeguards designed to protect our neighborhood data from unauthorized access or alteration. In the event that we become aware of a digital security compromise or data breach that impacts your Personal Information, we will make reasonable efforts to notify affected individuals promptly via email, website notices, or direct mail in accordance with Ontario privacy tracking guidelines.

8. Acceptance of this Policy

By navigating this Website, filling out our forms, or digitally submitting your annual membership dues, you acknowledge that you have read this document and consent to the handling of your data as outlined herein.
